At ClaimVMS, we are committed to protecting the privacy of the sellers who use our platform and being transparent about how we handle information — including the video footage our software is built to record.

This policy explains what we collect, why we collect it, and the choices you have. It applies to your use of the ClaimVMS website, web application, and Android app.

1. Information We Collect

Account information: when you sign up for ClaimVMS, we collect information such as your name, email address, phone number, business name, and billing details needed to create and manage your account.

Usage information: we may collect basic technical information about how you access ClaimVMS — such as browser type, device type, and general activity within the app — to help us maintain and improve the service.

2. Video Proof Data

ClaimVMS's core function is recording packing videos and linking them to an AWB number, SKU, and marketplace. These recordings may show the product being packed, its packaging, and the immediate packing environment.

We are built around a data-sovereignty principle: unlike video management tools that copy every recording to their own cloud by default, ClaimVMS is designed so this footage can stay on storage that you control. We do not retain a permanent copy of your video data on our own servers unless you have explicitly chosen ClaimVMS-hosted storage as part of your plan.

Video recordings are used solely to help you document proof of correct packing and to support your own marketplace return-dispute claims. We do not use your video footage for advertising, and we do not sell video data to third parties.

3. How We Use Your Information

• To create, authenticate, and manage your ClaimVMS account
• To process billing and manage your subscription
• To provide customer support and respond to your requests
• To operate the AWB-tagging, search, and video-retrieval features of the service
• To maintain the security and reliability of the platform

We do not use your personal information or video data for purposes beyond delivering and improving the ClaimVMS service, except where required by law.

4. Where Your Data Is Stored

Depending on your plan, video data may be stored on your own designated storage, or on ClaimVMS-managed infrastructure if you opt for hosted storage. Account and billing information is stored on secure servers operated by ClaimVMS or its infrastructure providers.

If your data is processed or stored outside your own country, we take steps to ensure it continues to receive an appropriate level of protection consistent with this policy.

5. Third-Party Services

ClaimVMS may integrate with third-party services — such as payment processors, cloud storage providers, or analytics tools — to operate and improve the platform. Any information shared with these providers is governed by their own privacy policies, and we only work with providers who maintain reasonable data-protection standards.

We do not sell your personal information or video data to third parties for their own marketing purposes.

We use industry-standard safeguards — including encryption in transit and access controls — to help protect your account information and video data from unauthorized access. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

If you use self-hosted storage, the security of that storage is governed by your own infrastructure and access controls, which you are responsible for maintaining.

7. Data Retention

Account information is retained for as long as your subscription is active, and for a reasonable period afterward as required for billing, legal, or support purposes. 8. Your Rights

Depending on applicable law, you may have the right to access, correct, or request deletion of your personal information held by ClaimVMS. To make such a request, contact us using the details below, and we will respond within a reasonable timeframe.

9. Children's Privacy

ClaimVMS is a business tool intended for use by e-commerce sellers and their staff. We do not knowingly collect personal information from children, and our service is not directed at individuals under the age of 18.
