Ecommerce returns: a guide for new sellers in India
Starting an online business? Returns will be one of your biggest costs. This guide explains what returns are, what they cost, what return rate to expect, and how to protect your money from day one.
What is a return in ecommerce?
A return happens when a buyer sends back an order after it is delivered. The marketplace refunds the buyer, the sale is reversed, and the product travels back to you. You usually do not get back the shipping you already paid, and the product may come back used, damaged or swapped.
Customer return vs RTO: what's the difference?
| Customer return | RTO (return to origin) | |
|---|---|---|
| When it happens | After the buyer receives the order | Before delivery: buyer refuses, is unreachable or the address is wrong |
| Common reasons | Wrong size, not as described, damaged, changed mind, fraud | Cash-on-delivery refusals, fake orders, wrong address |
| Your cost | Forward + return shipping, product condition risk | Forward + return shipping, blocked stock |
| Best defence | Accurate listings, packing video proof | COD confirmation calls, prepaid offers, address checks |
What return rate should a new seller expect?
Return rates in India vary a lot by category. These industry estimates are a useful starting point; use your own numbers once you have three months of orders.
| Category | Typical return rate | Main reasons |
|---|---|---|
| Fashion and apparel | 25–40% | Size and fit, not as described |
| Footwear | 20–35% | Size, comfort |
| Home and furniture | 10–20% | Damaged in transit, wrong item |
| Jewellery | 10–18% | Not as described, quality |
| Electronics and accessories | 8–15% | Defective, not as expected |
| Beauty and personal care | 5–10% | Opened or used, reactions |
| Books and stationery | 2–5% | Damaged packaging |

What does one return cost you?
Most new sellers count only the refund. The real cost of a return adds up from several places:
- Forward shipping you paid to deliver the order, often around ₹100.
- Return shipping to bring it back, often another ₹100 or more.
- Packaging that cannot be reused: box, poly bag, tape, tags.
- Product loss when the item comes back used, damaged, missing parts or swapped.
- Fees such as payment gateway or COD charges that are not refunded.
- Staff time to receive, check, repack and relist the item.
On an ₹800 order, ₹200 of shipping alone is 25% of the order value, before any product loss.
How to calculate your return loss
Multiply your yearly orders by your return rate to get the number of returns. Then add up what each return costs you. For 36,000 orders a year at a 30% return rate, you get 10,800 returns. At ₹200 shipping per return, that is ₹21.6 lakh a year in shipping alone. Use the calculator above with your own numbers.
How to reduce returns when you are starting out
- Use real product photos from several angles, including close-ups of fabric, finish and labels.
- Publish an accurate size chart with measurements in centimetres and inches.
- Write honest descriptions: material, exact colour, what is and isn't in the box.
- Check quality before packing so defective items never leave your table.
- Pack well with the right box size and padding to prevent transit damage.
- Confirm COD orders by call or WhatsApp before dispatch to cut RTO.
- Record a packing video for every order so you can prove what you sent. See how ClaimVMS works.
- Read return reasons every week and fix the listing behind repeat complaints.
How to win a fake or wrong return claim
Some returns arrive with a used product, a cheaper copy, a missing part or an empty box. Marketplaces will refund you only if you can prove what you shipped.
- Record a packing video before dispatch, showing the AWB label, product and sealing in one unbroken clip.
- Record the return unboxing before opening any returned parcel.
- File the claim quickly. Many marketplaces give only 24 to 72 hours.
- Attach both videos and photos of the product and tags to your claim.

Questions
Why count the sales value as a loss?
When an order is returned, the sale is reversed and the money goes back to the buyer. You get the product back, but if it is used, damaged, swapped or missing, that value is gone. Shipping charges are lost on every return.
How does a packing video reduce return losses?
A packing video linked to the AWB shows exactly what you packed and sealed. When a buyer returns the wrong item, an empty box or a damaged product, you attach the video to your marketplace claim and recover the money.
Why is ClaimVMS a flat price?
ClaimVMS saves videos on your own system instead of a vendor cloud, so there is no per-video storage cost to pass on. You pay one yearly price and record unlimited orders.
What is a good return rate for a new ecommerce business?
It depends on the category. Industry estimates for India range from about 2–5% for books to 25–40% for fashion. Track your own rate from the first month and work to bring it below your category average.
What is RTO in ecommerce?
RTO means return to origin: an order that comes back to you before it is delivered, usually because a cash-on-delivery buyer refused it or could not be reached. You still pay shipping both ways.
How can a new seller reduce returns?
Use real photos, an accurate size chart and honest descriptions, check quality before packing, confirm COD orders, and record a packing video for every order so you can claim back fake or wrong returns.
Can I change the ₹100 shipping assumptions?
Yes. Open "Shipping assumptions" in the calculator and enter your own delivery and return charges.
